This privacy statement relating to resourcing and externally provided online recruitment system used in recruitment at Administer Oy (“Privacy Policy”) provides you with general information on the processing of personal data by Administer Oy and its employees, partners and affiliates.

Administer collects your personal data for the purposes of managing Administer’s resourcing related activities as well as for organizational planning purposes. Consequently, Administer may use your personal data in relation to the evaluation and selection of candidates including for example setting up and conducting interviews and tests, evaluating and assessing the results thereto and as is otherwise needed in the recruitment processes including the final recruitment.

If you become an employee, any personal information that you submit may become a part of your file and may be used for other employment/work-related purposes.

Administer collects personal data directly from candidates as well as information sources that are provided to Administer by candidates. Subject to applicable national legislation, Administer may also collect personal data from public sources, and conduct background checks and assessments and store information from those during the recruitment process. Administer collects personal data for purposes stated in this Privacy Policy from both internal and external candidates.

This Privacy Policy covers any personal information you submit through our online recruitment system or by post/email, as part of job application or recruitment process, such as:

• name, address, telephone number, email address, other contact information and your preferred ways to be contacted;

• log-in and password and other such information used in connection with authenticating you;

• CV, résumé, cover letter, previous work experience, education, competences and skills;

• preferred country/countries of employment, willingness to relocate, desired salary;

• how you heard about the position, and

• information relating to references.

If you intend to provide us with details of a reference or any other third party as part of your CV/ résumé, it is your responsibility to obtain consent from the third party.

Please be aware that Administer does not generally collect information about candidates that is particularly “personal” or “private”. In certain European Union countries, this information is referred to as “sensitive personal data” and typically includes information about a candidate’s health, race, ethnicity, religious or political beliefs, or sexual orientation. Storage of data

Administer will store the personal data of candidates for as long as is required for the purposes of processing and as long as the law requires us to do so, or until we receive a deletion request.

All information related to the recruitment process is stored in our registry for 24 months following the final step taken or the final contact made.

The processing of personal data is based on your consent. You may at any time revoke your consent. As processing of your personal data is necessary part of our recruitment process, revoking your consent may lead to a situation where we cannot proceed the recruitment process with you.

Administer works with third parties who provide services to us and we may share personal information about you with those third parties such as third party service providers as part of Administer recruitment process, web site hosting or information technology consulting services; web site management; data analysis; legal services; accounting services; and other administrative and back-up and security services. As an individual about whom Administer processes personal data you have the right, as appropriate and subject to possible restrictions and other provisions arising from applicable national legislation:

• to obtain confirmation as to whether or not personal data concerning your exist in Administer recruitment systems and communications of such personal data in understandable national legislation, collect a fee for the costs and expenses actually incurred in relation to providing you with the said information;

• to obtain erasure, blocking or rectification of incorrect, incomplete or otherwise inaccurate personal data or, if relevant, integration of personal data;

• to object, in whole or in part, on legitimate grounds, to the processing of personal data – in some cases, however, this may also mean the termination of your application or other relationship with Administer.

Administer would like to remind you that for the most part you may exercise your rights by managing your candidate profile. If such profile management does not facilitate the compliance with your rights as set out in this Privacy Policy, you may exercise your rights by contacting us through the contact address described above in this Privacy policy. We may delete your personal information at any time (including your CV/résumé), without any reason. Therefore, you should retain your own copy of the personal information provided to us.
